We are active in our local Chamber of Commerce, and therefore, familiar with the struggles to motivate members already having very full schedules to attend events that would actually be of great benefit to their businesses. The office already sends out two very simple e-invitation notices with registration buttons via email for upcoming events, and yet, attendance numbers could be greatly improved, which would increase the likelihood of members making those connections that they desire - not just because they are there, but because so many other local business people would be there to meet!
Our part in this? We proposed an email (see the sample to the right) that moves away from the familiar formatted page of the invitation, and approaches the event with the member benefits first and more obviously placed - the same information that was tucked into the text of the older mailings, and very likely was missed as recipients went directly to the who, what, where, when, to determine in a matter of seconds if they were, a- interested, & b- available.

The above samples are a combination of a letter that can be sent either through e-mail, or printed to letterhead, and accompanied by the pdf attachment, with the goal of a prospecting communication as step one in contacting new businesses to show them the benefits of belonging to the Merrimack Chamber. The correspondence is slated to be coming from the members of the Board of Directors, with another version, slightly altered as coming from an individual on the Membership Committee, so that many are working to increase membership to the organization. The "salespeople" in this circumstance are all volunteers, so the process must be simple and easy for them to fit into their already busy schedules and their own company's responsibilities.
